Once we understand your brief, we prepare a costed proposal. It covers the main parts of the event, such as the venue, production, food, travel and our fee. You approve the proposal before work begins, and after the event we reconcile payments against it.

The biggest factors are the city and venue, the number of guests, the date and the length of the event. Stage, AV, entertainment and any guest travel also add to the total. Gifts, printed material and digital tools add to the total if you need them.

For small internal meetings, planning in-house often works well. For conferences, award nights and group travel, an event company brings supplier contacts, better rates and a production team. As a general guide, allow six to eight weeks for a conference or award night with a few hundred guests. Incentive trips abroad need longer, because flights, hotel blocks and travel documents take time to arrange. Smaller internal events can often be planned in less time.
